About the Job...

The Laundry Office Assistant/Receiver works in the center of it all! This position assists Laundry Operations team in taking in park laundry, handling correspondence, visitors, recordkeeping and file systems in the Laundry Plant. 

REPORTING RELATIONSHIPS:

Reports directly to the Laundry Coordinator.

RESPONSIBILITIES:

 

  • The Office Assistant maintains the Kronos timekeeping system and the labor budget tracking spreadsheet, and performs general office tasks.
  • Provide excellent service to laundry customers and visitors.
  • Greet all visitors arriving in the laundry and direct them to the appropriate managers.
  • Manage incoming telephone calls, passing messages and taking action as appropriate.
  • Greet new employees on arrival days and coordinate with the Manager of Training & Standards to schedule orientation and training classes.
  • Maintain the computerized timekeeping system for laundry employees, and update the laundry payroll budget spreadsheet to monitor actual labor cost vs. budget.
  • Maintain confidential employee files, tracking updated personal profiles, personnel sheets, training checklists, and HIGs.
  • Clean and maintain office equipment and office areas.
  • Complete vehicle mileage logs as required by company policy.
  • Maintain a safe work area according to laundry policy.
  • Assist with laundry operations when needed.
  • Assist with special projects as assigned.

SKILLS AND KNOWLEDGE:

 

  • Valid driver’s license required.
  • Office organizational skills including filing, managing office supplies, and scheduling and prioritizing tasks.
  • Business communication skills, including professional telephone manner and clear, concise, and professional written communication.
  • General knowledge of office equipment, including personal computers, photocopiers, fax machines, etc.
  • Competency in basic arithmetic and the ability to count inventories, compare actual vs. required amounts, etc.
  • Must be flexible, able to prioritize workload, and take the initiative.
  • Knowledge of Microsoft Windows and Microsoft Office software, including:
  • navigating local and network file systems,
  • locating and creating network shortcuts,
  • locating and saving files in designated locations with standardized file names,
  • using Outlook to manage multiple e-mail accounts,
  • using Word to create memoranda and manuals,
  • using Excel to record tabular data.
  • Knowledge of company policies, laundry policies and procedures and safe work practices.

PHYSICAL REQUIREMENTS:

 

  • Frequent standing, walking, sitting, and reaching outward and above the shoulder for up to 6 hours per shift.
  • Requires occasional climbing, crawling, and squatting/kneeling for up to 3 hours per shift.
  • Requires occasional climbing using a step stool.
  • Able to sit at a desk for up to 4 hours at a time.

AUTHORITIES:

Approve employee timeclock data in the computerized timekeeping system.
Respond immediately to any unsafe situation.
