Administrative Assistant

PARKWIDE ENGINEERING STAFF ASSISTANT

REPORTING RELATIONSHIP:

Reports directly to the Assistant Director of Engineering (Facilities).

RESPONSIBILITIES:

  • Provide administrative assistance to the Parkwide Office.
  • Serve as a backup for the KRONOS time keeping system/benefit system.
  • Assist with preparing Parkwide Office, Outside Maintenance Service contracts and processes invoices.
  • Assist Parkwide Office with Maximo entry:
  • Work Orders
  • Purchase Requests
  • Purchase Orders
  • Preventive Maintenance
  • Create, print, update, track and close work orders in the Maximo system while monitoring work orders for completeness and accuracy.
  • Provide Maximo reports as required by management and other departments.
  • Prepare Task Statements. Coordinates with National Park Service for facilitation of Task Statements.
  • Coordinate Underground Utility Line Locate services.
  • Assist with administrative duties relating to acquisition of CEA equipment.
  • Research catalogs and companies and provide Parkwides with product guides, specification sheets, vendor information and part ordering information.
  • Coordinate Parkwide service contractors and vendors in regards to lodging, meal tickets, park transportation, and invoicing.
  • Assist with standardizing all filing, recordkeeping, equipment files, contract agreements, for the Parkwide Office.
  • Prepare reports for the Parkwide Office as required by the Engineering Office and other departments.
  • Assist with fuel tracking and Wyoming and Montana DEQ permit requirements.
  • Distribute and tracks Risk Management tailgate safety training. Performs office inspections.
  • Act as hiring contact for interviewees for the Parkwide Office
  • Assist with inventory tracking and restocking of Parkwide service trucks.

SKILLS AND KNOWLEDGE:

Must possess organizational, communication, typing and calculator skills.
Must be proficient in Power Point, Word, Excel, Microsoft Office, and Windows XP.
Comply with all current related safety and health requirements.
Able to read, understand and comply with all current company policies and procedures.
Must be able to handle multiline phone systems and fax.
Must have the interpersonal skills to troubleshoot between calls.
Must have excellent phone etiquette.
Able to understand CMMS systems. Experience with Maximo is a plus.
Must work with the company-purchasing agent and conform to company purchasing, warehouse and freight procedures.
Must possess a valid driver’s license and a clean driving record.

PHYSICAL REQUIREMENTS:

Must be capable of lifting objects weighing up to 50 pounds.
Must possess the stamina to sit, stand, and work for long periods of time.
